BYLAWS OF THE DOCUMENTATION COMMITTEE
OF THE UKRAINIAN PSYCHOANALYTICAL UNION

The Documentation Committee is the body of the Organization responsible for maintaining the records of the Ukrainian Psychoanalytic Union, keeping track of the Organization’s members, administering the UPS’s information resources, and preparing and issuing documents related to the UPS’s professional activities and educational events.

 In its activities, the Documentation Committee is guided by the current legislation of Ukraine, the UPA Code of Ethics, the UPA Bylaws, and other founding documents of the UPA.

1. The Chair of the Documentation Committee is elected by the Organization’s Conference.

2. The composition of the Documentation Committee is formed by the Chair of the Committee and approved by the President for a term of 4 years.

3. The Committee consists of UPS members who have relevant organizational and administrative experience and carry out their activities in accordance with the Organization’s goals and objectives.

4. Meetings of the Documentation Committee are convened at the request of the Chair.

5. A meeting of the Documentation Committee is valid if a majority of its members are present.

6. Decisions of the Documentation Committee are adopted by a simple majority of its members’ votes. In the event of a tie, the Chairperson has the casting vote. In the event of complex or contentious situations, the Chair shall refer them to the Conference for resolution.

7. The Chair of the Documentation Committee shall report on the Committee’s activities to the Conference of the Organization’s members.

8. The Documentation Committee, in accordance with its authority, is responsible for:

• maintaining and updating the UPS membership database;

• keeping records of UPS members’ membership status, professional activity, and participation in the Organization’s events;

• the preparation, processing, and issuance of certificates, certificates of completion, and other documents regarding training hours and participation in UPS conferences, lectures, seminars, and other professional events;

• the maintenance of electronic archives of the Organization’s documentation;

• the administration and content management of the official UPS website;

• posting up-to-date information about the Organization’s events, projects, and activities on the UPS’s official resources;

• ensuring the preservation of the Organization’s documentation and electronic materials;

• coordinating document flow between the Committees and the governing bodies of the UPS;

• preparing templates for official documents, certificates, and registration forms;

• providing technical support for the registration of participants in UPS professional events;

• maintaining an inventory of and safeguarding the equipment necessary for the Committee’s operations.
